Note: The default login user name is Manager. Initially no password is associated with the Manager logon but we recommend that you allocate a password at the first opportunity in Settings > Change Password.
The Access rights option gives you control over who can access your software and what changes they can make to your accounting information.
Tip: Before setting up access rights, make sure you have completed the Customise your company settings tasks. If you haven't defined these settings, open Help > Customise your company and follow the instructions provided.
Note: In single user versions, to enable the Access Rights option open Company Preferences > Parameters > and select the Access Rights check box.
Set up user names for individuals with or without password protection.
Copy user names and related access rights. This is very useful if you have set up someone with restricted access to certain options and windows, and you want to grant the same access to another.
Limit what an individual can do within the main areas of your software.
For example, you can provide someone with access to the Bank module but prevent them from making payments.
Note: To manage access rights you need to logon with the user name Manager, the password is blank by default unless you have specified otherwise. We recommend that you use a password for the Manager login.
Logon Name | Each person using the software must have a logon name. The name can use upper or lower case characters, spaces or numbers, and you can use up to thirty characters. |
Password | Adding a password to a user name is optional but does provides extra security. The password can be up to ten characters long and can include spaces and numbers. Tip: The individual can manage their own password from Settings > Change Password. If they forget their password you can reset it for them when you log in as Manager. |
Full Access | This is the starting point to opening up or limiting access to the software. You can choose between full access or no access. This depends on how much or little access an individual should have. If you want to give someone unlimited access to all or most areas of the software, select this option. If needed, you can tailor access to specific areas and features. See Partial user access rights below. |
No Access | Blocks access to all parts of your software. If you want to limit access to most areas of the software, select this option. Then adjust access to specific areas and features. See Partial user access rights below. |
Option | Lists the main areas in your software where access rights can be applied. |
Access Type | Indicates the user's access rights to each option. This can be full, none or partial. Partial access means they have access to specific areas within the option. For example, they can have access to the Invoicing area of the software but no access to the invoicing reports. To give unlimited access to an option or most of an option, select the option then click Full Access. Otherwise, click No Access. If needed, you can set up more specific access to the option using Dialogs. |
Dialog | Lists the features and activities for the selected area (option) in your software where access rights can be applied. |
Access Type | Indicates the access rights to each feature and activity within the selected option. This can be full or none. To give unlimited access to a feature or activity, select the dialog then click Full Access. Otherwise, click No Access. |
